Connecting QuickBooks Online
Connect QuickBooks Online so Studiohaus syncs your invoices and payments into your books automatically — clients still pay by card in their portal.
QuickBooks Online is your books. Connecting it to Studiohaus closes the most common bookkeeping gap — "I billed this in Studiohaus, now I need it in QuickBooks too" — by syncing your invoices and the payments against them straight into your QBO ledger. You keep collecting from clients the Studiohaus way (they pay by card in their portal); QuickBooks just stays in step, so month-end reconciles itself.

Connecting
- Open Settings → Integrations.
- Click Connect QuickBooks on the QBO card.
- You're redirected to QuickBooks' sign-in. Sign in to the company you want to link.
- QuickBooks asks you to authorize Studiohaus. Click Connect.
- You land back on Integrations with a green Connected badge and the company name.
The connection is per-firm — every team member uses the same link, no per-user OAuth to manage. Studiohaus refreshes the access token automatically each time it talks to QuickBooks (pushing an invoice or syncing a payment). If your firm goes a long stretch with no activity, you'll see a "Reconnect required by [date]" note on the Integrations page about a week before the token lapses; one click reconnects.
What syncs
Two things flow from Studiohaus into QuickBooks:
- Invoices — header (number, date, due date), line items (description, quantity, rate), and the client (mapped to a QBO customer, created on first sync by email match).
- Payments — when an invoice is paid, the payment is recorded in QBO as a Payment applied to that invoice, with the amount and date.
What doesn't sync: internal notes, project links, mileage and time entries (Studiohaus-only), and tax. QBO needs its own tax-code and jurisdiction setup, so configure tax rates in QuickBooks; if a Studiohaus invoice carries a tax rate, the push leaves a note that the tax wasn't carried over.
How payments reach QuickBooks
This is automatic. When a client pays an invoice by card in their portal — or you mark an invoice paid for an offline payment — Studiohaus records the payment and then mirrors it into QuickBooks: it pushes the invoice first if it isn't already there, then files the payment against it. You don't re-enter anything, and you don't flip statuses back and forth between the two systems.
Pushing an invoice ahead of time
You don't have to wait for a payment to get an invoice into QuickBooks. Every invoice in your Financials list and on its detail page has a QB button.
- Click QB. A confirm dialog summarizes what will happen.
- Click Push to QuickBooks. A few seconds later the icon turns to a green checkmark — hover it to see the QuickBooks invoice id and the push time.
Pushing the same invoice twice is blocked (the green check disables the button). The push isn't reversible from Studiohaus; to undo, delete the invoice in QuickBooks. Pushing early is optional — if you skip it, the payment sync pushes the invoice for you when the time comes.
Disconnecting
Open Settings → Integrations and click Disconnect on the QBO card. The token is revoked and the QB button disappears from your invoices. Anything already pushed stays in QuickBooks — disconnecting only stops future syncing.
